Business email is email that ends with your own domain instead of a free service. It looks more established, stays with your business when staff change, and you control it. It needs a domain, a mail service and correct DNS settings, and it is not always included with hosting.
Sender
Writes to info@yourbusiness.com.na.
MX records
Say where mail for the domain goes.
Mail service
Stores your messages.
You
Read it on a phone or computer.
Why it helps
- Trust. sales@yourbusiness.com.na looks more established than a free address.
- Ownership. The address belongs to the business, not a person.
- Flexibility. You can add addresses for staff or roles and remove them when people leave.
How it works
Email is delivered using DNS settings called MX records, which tell senders which mail servers receive messages for your domain (the email standard describes this (external site, opens in a new tab)). You choose a mail service, then set the MX records at your domain. If DNS is changed carelessly, email can stop.
Hosting email or a separate service?
| Option | Good for | Watch out for |
|---|---|---|
| Email with your hosting | A few simple mailboxes | Storage limits and shared servers |
| A dedicated email service | Teams, calendars and shared files | A monthly cost per user |
| A free address | A first step only | Looks less professional and the business does not own it |
Common mistakes
- Using a personal address for everything. It is hard to hand over when staff leave.
- Weak or shared passwords. Use strong, separate passwords.
- Changing DNS without checking email. Note the existing settings first.
- Domain registered in someone else's name. You could lose both site and email.

How does business email use your domain?
Email addresses on your own domain, such as info@yourbusiness.com.na, work because DNS records tell the internet which mail servers receive that domain's email.

What is DNS?
DNS, the Domain Name System, is the internet's naming system. It lets a human-readable domain name be matched to the numeric address of the server that holds the site.
Source: Based on RFC Editor (IETF), RFC 1034: Domain names, concepts and facilities.
For a Namibian business: When a Namibian company moves its website to a new host, the change is made in DNS records. A wrong record can take a website or email offline, so changes are made carefully.

Common questions
Do I need a website to have business email?
You need a domain, not a website. Many businesses start with the domain and email first.
Is email included with hosting?
Sometimes. Ask what is included and the limits on size and number of mailboxes.
Can I keep my old address?
You can keep both for a while and forward the old one to the new one.
Is a free address that bad?
It is fine to start. A domain address builds more trust over time.
What if I change provider later?
Mail can be moved, but plan it with care and keep the old service until the new one works.
Need help with this?
Optional. You do not need any ADA service to use what you have just read.
